Facilities Helpdesk Administrator – Ruislip – FM Service Provider – 28k Temp to Perm

My client, a leading Facilities and Maintenance Provider are currently recruiting for an Experienced Facilities Helpdesk Administrator. This is an Exciting opportunity to work for a Facilities Management in Ruislip London. The successful candidate will have a proven track record working in Facilities Management.

Hours Of Work

  • Monday to Friday
  • 8am to 5pm
  • Office based

Key Duties & Responsibilities

  • General Administration
  • PPMS
  • Support Head of Facilities when required to ensure adequate cover for absences or at peak times of building use
  • Have a working knowledge of key items of building management systems, security and fire alarm systems
  • Responsibility for opening and closing down jobs
  • Identify and report maintenance or safety problems and ensure these are recorded adequately.
  • Raising Quotes for client portfolio
  • Raising Purchase Orders and placing orders for engineers, sub-contractors
  • Completing all paperwork for monthly billing
  • Supervision of all WIP for the Contract portfolio ensuring that invoices are produced in a timely manner.
  • Compiling month end billing, inclusive of sales invoices + closure of WIP
  • To keep records of work carried out on site to ensure servicing and maintenance of all equipment is up to date
  • To manage and monitor any requests relating to the site, such as property maintenance, cleaning etc.
  • To assist in all Health, Safety & Environment procedures, including audits.
  • Ensuring that all documentation is received from Sub-contractors with regards to Health & Safety and Company Legislation.

Requirements

  • Relevant experience of supporting facilities services
  • Experience of supervising contractors and service providers
  • IT Skills
  • Knowledge of health & safety and fire evacuation procedures
  • Experience working in a fast paced environment
  • Experience with CAFM systems
  • Experience with multiple contracts
  • General administration experience
