Facilities Helpdesk Administrator- Warrington- £25k- Permanent Position- Great Opportunity
My client a Leading Maintenance Provider are currently recruiting for an experienced Facilities Helpdesk Administrator to join their team on a Permanent basis. This is an ideal opportunity to join a great company who invest in the development and progress of their employees.
Hours- 8.00- 17.00 Monday to Friday in the office.
Main Duties
- Answering Helpdesk calls within a timely manner.
- General Administration of the CAFM System
- Take reactive calls on the helpdesk and ensure they are assigned correctly
- Allocate works accordingly to the engineering team and approved subcontractors
- Manage the CAFM system and ensure it is regularly updated with live updates and documentation.
- Manage reactive and remedial works by ensuring accurate updates are included on all jobs with follow on activities
- Scheduling works and subcontractors for day-to-day operations
- Assist with the coordination of engineer’s work schedules and monitoring their activities.
- SLAs
- Liaise with the Technical Contract Manager in diagnosing faults and receipt of technical job sheets
- Managing and arranging quotations for works for tasks raised where required.
- Constantly monitor progress against booked jobs
- Reports and record keeping all submissions
- Raise supplier purchase orders.
- Raise reactive POs aligned to delegated authority.
- Approval of invoices
- H&S and Compliance Responsibilities
- Check that subcontractor RAMS, certificates and insurances are in place.
- Check that RAMS have been signed off by a technical manager.
- Support on any other H&S related admin duties as required.
- Any other duties that may be assigned by the management team to support the department.
Qualifications or Experience desired:
- CAFM Knowledge and Experience of helpdesk/coordination within a facilities management service is essential.
- Experience of working within a client facing role would be beneficial, or the understanding of the need for discretion when dealing situations.
- Experience within a healthcare or PFI background would be desirable but not essential.
- Able to work with varying timescales and multiple priorities across the various applied contracts.
- Excellent communication and customer service skills
- High level of verbal, written and numeric skills.
- Computer-literate (MS Office based Products: Excel, Word
