Personal Assistant and Bid Co-Ordinator

GH Engage is currently looking to recruit for a dual role of Personal Assistant/Bid Co-Ordinator for an £80m national M&E contractor based in London. The ideal candidate will act as Personal Assistant for the Managing Director and will also take the lead on coordinating tend bids between various departments.

As the Personal Assistant, the role can include but is not limited to:

  • Acting as the first point of contact, dealing with correspondence and phone calls.
  • Managing diaries and organising meetings and appointments, often controlling access to the manager/executive.
  • Booking and arranging travel, transport, and accommodation.
  • Organising events and conferences.
  • Reminding the manager/executive of important tasks and deadlines.
  • Typing, compiling, and preparing reports, presentations, and correspondence.
  • Managing databases and filing systems.
  • Implementing and maintaining procedures/administrative systems.
  • Liaising with staff, suppliers, and clients.
  • Collating and filing expenses.

As the Bid Co-Ordinator, the role can include but is not limited to:

  • Co-ordinating the tender process within the tender team, set deadlines and responsibilities.
  • Communicating internally, preparing for, and conducting internal meetings for each bid.
  • Reviewing contractual terms and conditions.
  • Maintaining the administration of the tenders.
  • Preparing bid bonds if required.
  • Obtaining feedback when tenders are unsuccessful.
  • Striving to continuously improve the tender process.

The ideal candidate will have:

  • Prior experience as both Personal Assistant and Bid Co-Ordinator.
  • Excellent English communication skills both written and verbal.
  • MS Office Proficiency.
  • Positive, can-do attitude, with the ability to work under pressure to tight deadlines.
  • Excellent organisational skills.
  • Ability to liaise with relevant team members to obtain tender input/information.
  • High attention to detail.
  • The ability to work independently.
  • The ability to be flexible and adaptable.
  • Good telephone presence.
  • Self-motivation with the ability to manage bid writing and tender submissions.
  • The Passion for writing and a love for creating dynamic and interesting presentations & documents.
  • The Ability to accurately interpret submission requirements.
  • The Ability to coordinate and guarantee correct bid procedures.
  • High level of written and spoken communication.
  • The ability to interpret/create bids and extract the required data from stakeholders.

Salary:

£45,000 – £50,000 negotiable dependant on candidate
